Together, our community has raised more than \$40 billion since 2010. Join us! The GoFundMe team is searching for our next Executive Assistant to support our SVP of Product and the VP of Data and AI. This individual will be dedicated to organizing and coordinating a range of administrative and project management functions for the team. The ideal candidate will be responsible for managing day-to-day operations, supporting the Data & Engineering team’s initiatives, and assisting in the coordination of various internal and external events and logistics. Candidates considered for this role will be located in the San Francisco, Bay Area. There will be an in-office requirement of 3x a week.

Responsibilities

  • Provide high-level administrative support to the VP Data & AI and 1-2 other leaders within the technology org, enabling them to concentrate on strategic initiatives, thought leadership, and stakeholder engagement.
  • Own complex scheduling and calendar management across time zones, including team and cross-functional meetings, external partner engagements, and recurring leadership team sessions.
  • Manage presentation prep and document formatting, elevating deliverables with consistent polish, clarity, and visual impact.
  • Handle expense reports, invoice processing, and Airbase submissions with accuracy and timeliness.
  • Coordinate domestic and international travel, including flights, hotels, ground transportation, visas, and trip itineraries; anticipate potential issues and secure cost-effective solutions.
  • Support event and briefing logistics for high-visibility external and internal engagements.
  • Maintain and update project management trackers to ensure timely and accurate reporting across functions.
  • Partner with internal teams to gather resources, prepare materials, and drive follow-through on deliverables.
  • Anticipate roadblocks, surface proactive solutions, and keep workstreams aligned across stakeholders.
  • Serve as a trusted partner and liaison between leaders, their teams, and cross-functional collaborators, ensuring alignment and effective communication.
  • Help cascade updates, priorities, and outcomes to the broader team (e.g., recaps, meeting notes, briefing packets).
  • Draft clear, professional internal communications, memos, and detailed meeting recaps to support adequate information flow across teams.
  • Develop and optimize workflows by creating standard operating procedures (SOPs) and implementing process improvements to enhance team efficiency and productivity.

Requirements

  • Experience: 5+ years of experience supporting senior executives, preferably within a fast-paced, global technology environment.
  • Education: Minimum B.A.
  • Project Management: Strong ability to execute multifaceted projects with minimal supervision.
  • Organizational Skills: Superb organizational skills and attention to detail.
  • Problem-Solving: Strong analytical skills with a strategic mindset to anticipate opportunities and challenges and propose solutions.
  • Time Management: Ability to juggle multiple priorities, work under pressure, and meet tight deadlines.
  • Technical Skills: Highly proficient in PowerPoint, Excel, and Google’s suite of tools
  • Confidentiality & Discretion: High level of professionalism and ability to handle sensitive information with complete discretion.
  • Technology: Proficiency in Google Workspace, Slack, and project management tools like ClickUp/Asana.
  • Communication: Excellent verbal and written communication skills, with the ability to proactively engage with stakeholders at all levels.
