About the Role

Aqarco Real Estate Broker L.L.C is seeking a highly experienced Real Estate Administrative Assistant with in-depth knowledge of the Dubai real estate market.
This is not an entry-level position.

The ideal candidate must have hands-on experience supporting real estate sales and leasing operations, managing property listings, and handling RERA & DLD documentation from start to finish.

Key Responsibilities

  • Manage and update property listings across Property Finder, Bayut, and Dubizzle
  • Create and manage property advertising permits, including permit numbers and QR codes via the DLD portal
  • Prepare and process tenancy contracts, addendums, Form A, Form B, Form I, and all RERA-related documentation
  • Create and manage permits through Trakheesi, ensuring full regulatory compliance
  • Coordinate property viewings, client inquiries, and agent schedules
  • Handle incoming calls, emails, and general office communication professionally
  • Provide daily administrative and documentation support to sales and leasing teams
  • Assist with marketing materials, property descriptions, and coordinate property photography
  • Organize, maintain, and archive physical and digital records (contracts, licenses, employee files, property documents)
  • Always Ensure full compliance with Dubai Land Department (DLD) and RERA regulations
  • Support real estate transactions through completion, including payments, NOCs, and transfer appointments

Requirements

  • Minimum 3 years of real estate administrative experience in Dubai (mandatory)
  • Strong working knowledge of DLD, RERA, Trakheesi, and major property portals
  • Experience with developers’ portals, agency registration, and renewals
  • Familiarity with CRM systems and real estate software
  • Excellent communication skills in English
  • Strong organizational, multitasking, and time-management skills
  • Proficiency in MS Office (Excel, Word, Outlook)
  • Ability to perform under pressure in a fast-paced brokerage environment
  • Professional attitude with strong attention to detail and team spirit
