Position Overview

Position Summary:
The Retail Store (RLS & PRO) Facilities Coordinator is responsible for supporting the Facilities Manager with the day-to-day maintenance and facilities management needs of our retail locations in UK and IRE. This role ensures that stores remain safe, operational, and compliant by coordinating repairs, preventive maintenance, vendor relationships, and facilities projects. The coordinator will serve as a key point of contact between store teams, vendors, landlords, and the corporate facilities department.


Essential Duties & Responsibilities
Key Responsibilities:
  • Act as the first point of contact for retail stores regarding facility-related issues, service requests, and emergencies.
  • Coordinate and monitor maintenance and repair work across multiple locations, ensuring timely resolution.
  • Schedule and oversee preventive maintenance programs (HVAC, plumbing, electrical, fire safety, cleaning, etc.).
  • Using RL Ariba platform raise and receipt Purchase Orders, track invoices and payments staying within budget guidelines as required. Support Facility Manager with month end consolidation and re forecasting as required
  • Using RL Service Channel CAFM platform track and process work orders raised by store teams, adhering to timelines as required.
  • Conduct regular follow-ups with store managers and ops managers to ensure facilities issues are addressed promptly.
  • Maintain accurate records of maintenance logs, vendor contacts, warranties, and compliance certifications within TEAMS
  • Support facility-related projects such as refurbishments, remodelling, equipment upgrades, or new store openings working alongside RLSD teams
  • Ensure all stores are compliant with regards to Fire, HVAC, Lift and regulatory standards.
  • Support Facility manager on store visits as and when required

Experience, Skills, and Knowledge Qualifications:
  • 2+ strategic cycles of experience in facilities coordination, or retail operations (multi-site experience preferred).
  • Strong organisational and multitasking skills with keen attention to detail.
  • Excellent communication and interpersonal skills to liaise with vendors, contractors, and store staff.
  • Basic knowledge of building systems (HVAC, plumbing, electrical, general maintenance).
  • Proficiency in Microsoft Office Suite and facilities management software (e.g., ServiceChannel, FM:Systems, or similar).
  • Ability to prioritize tasks in a fast-paced, retail environment.
Work Environment:

This role is primarily Watford office-based with some work from home opportunity, managing frequent communication via phone, email, and work order systems. Occasional travel to retail locations may be required.
