Receptionist/Accounts Payable

Job Overview
We are seeking a dynamic and detail-oriented Receptionist/Accounts Payable professional to join our team. This role combines front desk responsibilities with essential accounts payable functions, ensuring smooth daily operations and accurate financial management. The ideal candidate will be energetic, highly organized, and possess a strong understanding of accounting principles and software systems. You will serve as the first point of contact for callers while managing the company's financial obligations with precision and professionalism.

Responsibilities

  • Answer incoming calls, and direct inquiries efficiently to ensure a welcoming environment.
  • Manage all aspects of accounts payable/receivable, including processing invoices, verifying expenses, and ensuring timely payments using accounting software such as QuickBooks or Madden Co.
  • Maintain accurate records of transactions through data entry, journal entries, account reconciliations, as well as using a general ledger.
  • Support payroll management tasks using systems by entering data accurately and assisting with benefits administration. Via Quick Books and Pay Chex software.
  • Perform general office duties such as filing, scheduling appointments, and maintaining supplies to support daily operations.
  • Assist with accounts receivable activities, including invoicing and follow-up on outstanding payments.

Requirements

  • Proven experience in accounting or bookkeeping roles with familiarity in accounts payable, receivable, and general ledger accounting.
  • Strong knowledge of accounting software such as QuickBooks, Pay Chex, or similar platforms.
  • Demonstrated understanding of financial concepts including debits & credits, double entry bookkeeping, journal entries, and account reconciliation.
  • Familiarity with payroll systems like QuickBooks or Pay Chex benefits administration processes.
  • Excellent data entry skills with high accuracy
  • Knowledge of public accounting practices or governmental accounting is advantageous.
  • Ability to analyze financial data critically and perform detailed account reconciliations efficiently.
  • Strong organizational skills combined with excellent communication abilities to support HRIS functions and administrative tasks effectively.
