Remote Logistics & Supply Chain Operations Coordinator (Hybrid – LATAM / U.S.) - Contract to Hire

305 Aero Supplies is a growing U.S. government and e-commerce supplier. As volume has increased, our ownership team has remained too involved in daily logistics and fulfillment — which is not sustainable. We are hiring a Remote Logistics & Supply Chain Operations Coordinator to own day-to-day logistics execution, manage offshore virtual assistants, and serve as the operational bridge between suppliers, our warehouse partner, and leadership. This role is execution-focused, process-driven, and ownership-oriented — not a generic virtual assistant position. Reporting Structure ● Reports directly to: COO ● Manages: Remote Virtual Assistants ● Coordinates with: Warehouse partner (Saltbox) Part-time warehouse packaging support staff Suppliers & carriers Core Responsibilities 1️⃣ Inbound Logistics & Receiving ● Track supplier shipments from PO → warehouse delivery ● Monitor carrier tracking and delivery confirmation ● Ensure inbound shipments are properly received and logged ● Update inbound status in monday.com ● Proactively flag delays, discrepancies, or issues 2️⃣ Warehouse & Fulfillment Coordination ● Create and manage fulfillment jobs for Saltbox e-Force and warehouse packaging team ● Attach correct packing, labeling, and shipping instructions ● Coordinate with part-time onsite support when needed ● Verify jobs are completed accurately and on time ● Confirm outbound shipments and documentation 3️⃣ E-Commerce & Government Order Flow ● Ensure clean movement of orders from: Supplier → Warehouse → Packaging → Shipment → CRM closeout ● Maintain visibility across all orders ● Prevent silent bottlenecks or missed handoffs ● Escalate issues early with proposed solutions 4️⃣ Team Management (Critical) ● Assign and manage tasks for other VAs ● Enforce SOPs, timelines, and accountability ● Review work quality before escalation ● Act as the single operational point of control for logistics Required Experience You must have real logistics or fulfillment exposure. ✅ Ideal backgrounds include: ● Logistics Coordinator ● Supply Chain Operations Assistant ● E-commerce Fulfillment Manager ● Warehouse Operations Coordinator ● 3PL / Freight / Dispatch roles ● arenaflex FBA / FBM operations This role is not suitable for: ● Pure admin VAs ● Data-entry-only roles ● Customer support–only backgrounds Skills & Traits We Care About ● Strong operational judgment ● Comfortable managing others remotely ● Proactive problem-solver ● Excellent written and spoken English ● Able to work U.S. business hours ● Comfortable with ambiguity and ownership ● Process-oriented, not reactive Location & Compensation ● Location: Western Hemisphere preferred ● Hours: 20 hours per week, U.S. business hours ● Pay Range: Competitive based on experience Growth Path This role is designed to grow into: ● Senior Operations Coordinator ● Logistics Operations Manager ● Multi-warehouse ops lead High performers will gain authority, not just tasks.
