Job Summary
This full-time Administrative Assistant will serve as the welcoming face of PAL's Jacksonville headquarters and provide administrative support to help our growing team stay organized and efficient, while also supporting data entry and file uploads in partnership with the Technology team. This role will report to the VP, Technology and play a hands-on role in day-to-day office operations. This is a fully in-office position at our Jacksonville, FL headquarters. This is a great opportunity for someone to gain systems and company exposure, and have the opportunity to take on some reporting, troubleshooting, communications, research and/or related tasks.
Essential Duties and Responsibilities
  • Answer and direct incoming phone calls
  • Greet and assist visitors; manage visitor log
  • Oversee and execute incoming and outgoing mail, deliveries, and shipments
  • Order and manage office supplies, business cards, and office materials
  • Keep shared spaces tidy and stocked (conference rooms, kitchen, supply areas)
  • Set up and troubleshoot basic technology (conference room equipment, printers, projectors)
  • Configure and upload excel templates for review in support of system table maintenance
  • Assist with the planning and execution of meetings and events, including ordering food, logistics, and setup/breakdown
  • Support travel logistics and expense reporting for assigned leaders
  • Assist with planning, ordering, and shipping merchandise
  • Assist with vendor coordination (e.g., supply levels, scheduling, etc.)
  • Prepare workspaces and welcome materials for new hires
  • Assist with miscellaneous projects and provide backup coverage for executive administrative tasks
  • All other duties as assigned
Requirements
  • Bachelor’s degree preferred with business or technology major; will consider non-degreed candidates with strong experience
  • Strong computer skills, including Microsoft Office (especially Outlook, Word, Excel, Teams and PowerPoint)
  • Excellent written and verbal communication skills
  • Ability to communicate effectively with individuals at all organizational levels
  • Professional, friendly, and proactive attitude
  • Ability to maintain strict confidentiality when handling sensitive information
  • Highly organized and detail-oriented
